Frequently Asked Questions

What is ArtsPool's Compliance Toolkit?

ArtsPool's Compliance Toolkit is a web-based tool to help you make sense of the red tape jungle that is regulatory compliance. The Toolkit's rule-based system compares the information you enter with heaps of regulatory requirements, to provide you with a customized task list, so you can address your compliance tasks without spending hours wading through confusing information.

The system is currently primarily designed for nonprofit arts organizations operating in New York. It is dynamic and can be modified to respond to regulatory changes and expanded to eventually include regulatory requirements from additional states, funding foundations, arts-related unions, etc.

The Toolkit is reviewed on an ongoing basis by members of the ArtsPool team and periodically by additional legal and audit experts. We also rely on YOU to help us keep the Toolkit in tip-top shape by reporting anything that is missing, confusing, etc. to lifeguard@artspool.co.

Please note that while we strive to ensure that ArtsPool's Compliance Toolkit is as useful as possible, the system does not guarantee complete compliance information. Please refer to our Terms and Conditions for more information.

I created or joined an organization, but what do I do now?

Manage your compliance task lists by selecting Compliance in the menu on the left sidebar. Selecting Generator will walk you through creating a new task list for a particular fiscal year. Selecting Task Lists will show you the lists you've created, organized by fiscal year. You can edit any list that you've generated.

You can adjust your profile settings (including information about yourself and your organization, email notification preferences, etc.) via links in the dropdown menu under your username in the top right corner.

Can I use this if my organization is not in the arts sector?

Yes, but please note that the Compliance Toolkit was created to help deliver ArtsPool's core services, and its design and functionality are very much informed by operational needs and experience in the arts sector. That said, many of the regulatory matters included in the Toolkit are not specific to the arts sector, and therefore the Toolkit can be useful to other types of nonprofit organizations and, to a lesser extent, non-exempt entities.

Please note that ArtsPool's Compliance Toolkit does not guarantee complete compliance information for any type of organization. Please refer to our Terms and Conditions for more information.

Can I use this if my organization is not a 501(c)(3) nonprofit organization?

The current version of ArtsPool's Compliance Toolkit is built primarily with 501(c)(3) organizations in mind. However, there is some useful functionality for other types of organizations as well as sole proprietors. We are interested in increasing the Toolkit's capacity in these areas, and we need your feedback to do so. Please send us your comments and questions at lifeguard@artspool.co.

Please note that ArtsPool's Compliance Toolkit does not guarantee complete compliance information for any type of organization. Please refer to our Terms and Conditions for more information.

Can use this if my organization is not in New York?

ArtsPool is currently focused on serving organizations in New York state, so if you are an organization outside of New York you will only see compliance tasks that are national in scope. If you are interested partnering with us to launch a version of the Toolkit in your own state, drop us a line at lifeguard@artspool.co.

My compliance score is less than 100%! What should I do?

Because compliance tasks have various deadlines throughout a fiscal year, it's actually unlikely that you will have a score of 100% for your current fiscal year. After your fiscal year has closed, you should be able to get closer to that perfect score. Use the toolkit to aim towards 100%, but more importantly, know what tasks are still open and why so that deadlines don't catch you by surprise.

What other tools do you plan to offer?

Our team is hard at work developing services for Financial Management and Workforce Administration, which we are rolling out to a small group of pilot members throughout 2015. For more information on membership, please contact us.
